Managers got five hours a week back from scheduling and ordering

Each week the managers started from a draft schedule, prep plan and supplier order built from their own sales and booking data, and signed off on all of it.

The challenge

Managers built the schedule and the supplier order from memory, last week's spreadsheet and a glance at the reservations. When service got busy, review replies slipped. None of it was hard on its own. Together it ate their evenings, and it showed up as overtime and waste.

What we built

A weekly assistant that read the point-of-sale exports, the reservations and local events, and drafted the staffing and prep plan from them. A second workflow drafted replies to public reviews in the restaurant's voice and passed anything sensitive to a person.

Where a person stayed in charge

  • Managers approved every schedule and every supplier order.
  • Each forecast showed the numbers it came from.
  • A complaint or a safety issue went straight to a person.
  • Review replies followed a short voice guide, approved in advance.

The result

Managers started the week with a usable first draft instead of an empty spreadsheet. Staffing tracked demand more closely, orders changed earlier, and guests got a consistent reply without a manager leaving the floor to write it.
