Privacy policyWhat this site collects, and what we do with it
Aurenia Group Limited runs aureniagroup.com. This page says in plain language what information the site collects, why we collect it, and what you can ask us to do with it.
Effective October 13, 2026
The short version
- We collect what you send us (a form, a booking, an email, a phone call) and some information about how the site is used.
- We use it to answer you, to do the work you asked about, and to make the site better.
- We do not sell it, rent it or trade it, and no advertising network gets it.
- You can ask to see it, correct it or have it deleted at any time.
What this policy covers
This website, and the free Pulse Check that runs beside it at portal.aureniagroup.com. It applies to anyone who visits, writes to us, books a call or uses one of the free tools.
If you become a client, what you share with us during an engagement is covered by the confidentiality terms in the agreement we sign with you.
What we collect
When you write to us. The contact forms ask for your name, your organization, your email address, your city and a description of what you are working on. A phone number and how you heard about us are optional. If you email us directly, we keep the email.
When you book a call. Your name, your email address, the time you chose and any notes you add for us. A scheduling service takes the booking on our behalf.
When you use the hours-back calculator. The numbers stay in your browser unless you ask for the result by email. If you do, we receive your name, organization and email address along with the numbers you entered. If you tick the box to hear from us afterwards, we also keep a record of that consent and the exact wording beside the box.
When you take the Pulse Check. The answers you give, and the contact details you enter with them.
When you phone us. The business line may be answered by an automated receptionist that takes your details and passes the call or a message to a person. We keep your number and a record of the call.
When you browse. Which pages you view, what you click, how you arrived, the kind of device and browser you use, and a general location worked out from your IP address. To see where a page confuses people, our analytics can also record a visit as a replay of the screen: scrolling, clicks and mouse movement. What you type into a form field is masked in those replays.
Browsing information is not tied to your name. The exception is when you give us your email address through one of the tools: from then on, visits from that browser are linked to that address, so we can see what you looked at before we talk.
Why we collect it
- To reply to you and prepare for a conversation with you.
- To send what you asked for: a calculator result, a booking confirmation, a Pulse Check report.
- To learn which pages help people and which ones lose them, so we can fix the ones that do not work.
- To keep spam and abuse out of the forms.
- To meet our legal and tax obligations.
We send marketing email only to people who asked for it, by ticking a box or by telling us directly. Every one of those emails says how to stop, and stopping takes effect right away. Sending us an inquiry does not put you on a mailing list.
Cookies and browser storage
The site uses a small number of cookies and browser storage entries for analytics. They let us tell a returning visitor from a new one, and they are shared between this site and the Pulse Check so one visit reads as one visit. There are no advertising cookies, and nothing here follows you to other websites.
You can block or clear cookies and site storage in your browser settings. Every page still works. To have recorded visits removed from our analytics, write to hello@aureniagroup.com.
Who else handles it
We use outside companies to host the site, deliver email, schedule calls, answer the phone and measure how the site is used. They handle your information for us, under their own security and confidentiality commitments, and are not permitted to use it for their own purposes.
Some of them store or process information in the United States or elsewhere outside Canada. While it is there, it is subject to the laws of that place, which can include lawful requests from courts and government authorities.
Beyond that, we share personal information only when the law requires it, or when you ask us to (an introduction to a funding program officer, for example).
How long we keep it
For as long as we need it for the reason you gave it to us. An inquiry stays on file while the conversation is open and for a reasonable time afterwards in case you come back. A record of consent to marketing email is kept for as long as the law asks us to be able to prove it. Financial records are kept for the period tax law requires. Ask us to delete something sooner and we will, unless the law obliges us to keep it.
How we protect it
Information travels to and from the site encrypted. Access to it is limited to the people who need it to do their work. No system is perfectly secure, so if a breach ever creates a real risk of significant harm to you, we will tell you and the Privacy Commissioner of Canada, as the law requires.
Your rights
You can ask us, at no cost, to:
- show you the personal information we hold about you;
- correct anything that is wrong or out of date;
- delete it;
- stop using it for something you agreed to earlier, such as marketing email.
Write to hello@aureniagroup.com and we will reply within 30 days. We may need to confirm it is really you before we act.
If you are not satisfied with our answer, you can complain to the Office of the Privacy Commissioner of Canada or to the privacy regulator in your province.
Children
This site is written for people who run organizations. It is not directed at children, and we do not knowingly collect information from them.
Changes to this policy
When what the site does changes, this page changes with it and the date at the top moves. If a change affects information we already hold about you in a way you would not expect, we will tell you directly where we can.
