Case study drafts arrived four days after a project closed, not eighteen

A 35-person consulting firm had plenty of good work and a website that didn't show it. Drafts started from the project records, and a partner signed off on each one.

The challenge

The firm's best evidence sat in project plans, close-out notes and people's memories. Setting up a marketing interview took weeks, so good engagements rarely became case studies while anyone still remembered the details.

What we built

We connected the approved fields in the firm's project-management tool to a publishing workflow. When a project closed, the system gathered the record, listed the evidence that was missing, and drafted a case study in the firm's usual structure and voice.

Where a person stayed in charge

  • Only approved project fields went in.
  • If a metric was missing, the system asked for it. It never filled one in.
  • Client confidentiality rules were checked before any drafting.
  • A partner approved every story before it went on the website.

How it ran

  1. 1

    Trigger

A project is marked closed and approved.

  2. 2

    Gather

Pull the evidence from connected records.

  3. 3

    Draft

Write the story and flag what is missing.

  4. 4

    Publish

A partner approves it, then it goes live.

The result

The website started showing current work without anyone taking on another writing chore. Partners checked the evidence and the judgment calls instead of rebuilding a project from memory, and marketing had a steady queue of drafts to work from.
